After the Administrator orders a Background Check, it will appear in the ‘In Process’ tab of the Background Checks page. The following is an explanation of each Background Check status and the corresponding actions that can be taken.
Background Status
‘Waiting For Applicant’
The Background Check QuickApp was ordered, and the applicant has been instructed to complete the Background Check Application electronically.
‘Application Completed - Processing’
The application has been completed and Abuse Prevention Systems is now processing the Background Check.
‘Complete - View’
The Background Check is ready to be viewed. After it has been viewed, the Administrator must approve or reject it. More information about how to accept or reject a Background Check may be found here.
‘Disputed’
If the applicant disputes information with Abuse Prevention Systems, we will notify you and the applicant’s status will reflect ‘Disputed.’ Once the dispute has been resolved, the applicant’s status will reflect the ‘Complete - View’ status. If an applicant contacts you to dispute information, please refer them to Abuse Prevention Systems at Disputes@AbusePreventionSystems.com or 817-737-7233.
‘Applicant Declined’
If an applicant declines to fill out the QuickApp authorization forms electronically, Abuse Prevention Systems will update the applicant’s status to ‘Applicant Declined.’ When this occurs, you must provide the applicant with physical Disclosure and Authorization forms to sign. Once you have received the applicant’s signed Authorization, you may proceed with ordering a Background Check via Longform. Background Actions
‘Approve’
Select 'Approve' if you would like the applicant to proceed with serving or working in your organization.
‘Pre-Adverse’
If you decide not to allow the applicant to work or serve with your organization due to records returned on a Background Check, you must follow the Adverse Action Process. The first step is to select ‘Pre-Adverse’ and follow the on-screen steps to send a Pre-Adverse Action Letter.
‘Adverse - Denied’
This status is to be used if your organization has NOT issued an offer of employment to the applicant, or if the applicant is a Volunteer.
Once the Pre-Adverse Action Letter has been sent to the applicant and a reasonable amount of time has passed, the next step is to select ‘Adverse - Denied’ on the applicant’s Background Check and follow the on-screen instructions to send the Adverse Action Letter. ‘Adverse - Offer Rescinded’
This status is to be used if the applicant has already been extended an offer of employment and your organization is now rescinding the offer due to the Background Check results.
Once the Pre-Adverse Action Letter has been sent to the applicant and a reasonable amount of time has passed, the next step is to select ‘Adverse - Offer Rescinded’ on the applicant’s Background Check and follow the on-screen instructions to send the Adverse Action Letter. ‘Applicant Withdrawn’
If the applicant is no longer interested in working or serving with your organization, select the ‘Applicant Withdrawn’ status.
‘Archive’
Select ‘Archive’ if the Background Check is no longer needed, or the applicant’s email address is incorrect.
